What to Do If You Can't Access NCIR

If you're unable to access NCIR, you may need to:

N.C. Identity Management, often called NCID, is the state's primary solution for access control and identity management. State government workers, residents and businesses use NCID to log in to some state websites.

Users can reset passwords and unlock their accounts from their computer or cellphone.

Documenting Vaccine Administrations Offline  

Use the Vaccine Administration Record Form (PDF) to report vaccine administrations. This includes patient eligibility for vaccines supplied through the North Carolina Immunization Program (NCIP).

Providers should:

  • Update patient records in NCIR as soon as possible
  • Keep records of all new client forms for three years, unless otherwise instructed by NCIP.

You do not need to record patient eligibility on the form if you can access patient records in NCIR.

Please note:

  • If you can't access patient NCIR records due to system outages, please do not cancel or defer vaccine appointments. Instead, ask parents to bring immunization records to their vaccine appointment. It's best to vaccinate patients based on the child's age and known vaccine history.  
  • Providers should maintain an accurate, current and complete medical record for each patient. The record should include an appropriate and up-to-date immunization record. These established principles apply to all forms of Medical Records Documentation including EHR.

VFC/NCIR Providers: Please use your contingency plan to enter any doses administered during system outages once your NCIR access is restored.

If your organization's received vaccine shipments aren't displaying in NCIR, please check again in 24-48 hours. If your shipment still does not show up as an inbound transfer after that time, please notify the NC Vaccines Help Desk.
